Dog Grooming Booking System from a Google Sheet

Love SpreadsheetsPublished Jul 21, 20265 min read

The worst appointment on any groomer's book is the mystery doodle. The owner booked "a bath and tidy" over the phone, the calendar blocked forty-five minutes, and what walks in is a matted goldendoodle who needs a three-hour full groom and a difficult conversation. Meanwhile the schedule behind him — a chihuahua nail trim, a shih tzu face-and-feet — backs up into the afternoon.

A salon in Tacoma ran on a Google Sheet for precisely this reason: no off-the-shelf scheduler understood that appointment length depends on the dog, not the service name. The sheet did. It also held rabies expiration dates, which dogs need the quiet back room, and who's due back at the six-week mark. The catch was that clients couldn't see any of it, so booking happened through phone tag and Facebook messages — and Saturdays collected no-shows like burrs.

Grooming software exists, but it starts around $50 a month and wanted the salon to retype four hundred dogs into its database. Instead, the owner had AI build a booking page straight on top of the sheet. Free to build, about a penny per text.

Step 1: Start With the Sheet You Already Keep

Three tabs cover a grooming operation:

  • Open Hours — which groomers work which days, and when the quiet back room is free for nervous dogs
  • Appointments — one row per groom
  • Groom Menu — services with base durations by size and coat

The Appointments tab looks like this:

NotesAnxious — quiet room, no dryers nearby

Keep your columns as they are. Shorthand, abbreviations, the ALL-CAPS warning about the husky who hates clippers — the AI reads it all fine.

Step 2: Sign Up Free

Go to lovespreadsheets.com and make an account. The booking system is free to build and free to run; you pay only if you want it living at your own web address or want a separate login for a second groomer.

Step 3: Explain Grooming to the AI

Choose the Website template. If you want text confirmations and rebook nudges — with a no-show problem, you do — set up Twilio first and include the Account SID, Auth Token, and number in your write-up. Texts run about a cent each.

Then lay out your rules the way you'd brief a new bather:

"When someone books, ask for the dog's breed, weight, and coat condition, and set the appointment length from the Groom Menu — a small smooth-coat bath is 45 minutes, a large doodle full groom is three hours. Only offer times that fit the full duration against the Open Hours and Appointments tabs. Before confirming, require the rabies expiration date and reject expired ones. Text the owner a confirmation and a reminder the morning of, and text me whenever anything books or cancels."

Three asks that earn their keep:

  • Breed-and-size-aware durations — the calendar blocks what the dog actually needs, so a doodle can never sneak into a chihuahua-sized slot
  • Vaccination checks at booking — expired rabies dates get stopped at the form, not discovered at the front desk with a leash in your hand
  • Six-week rebook texts — every finished groom quietly queues a "Biscuit's due for a trim" message about 42 days out, which is where regulars come from

AI Optimize will tighten the wording, the AI may ask a question or two back, and roughly 15–20 minutes later the page exists.

Step 4: Booking, from the Owner's Side

Marisol opens the link, enters Biscuit's breed and weight, and the calendar shows only windows wide enough for a de-mat. She types the rabies date, taps a Thursday slot, and receives a text confirmation with a reschedule link inside it. On your side: a new row in Appointments, one buzz on your phone, and a Thursday that's planned to the minute.

Edit the sheet and the page follows — block a Monday for a vet day and those slots disappear from the calendar before you've closed the tab.

Why Dog Groomers Keep the Sheet

The dog's history rides with the booking. "Quiet room, no dryers" isn't a sticky note anymore — it's in the row every single time Biscuit comes back.

Saturdays stop leaking money. Morning-of reminders with reschedule links turn would-be no-shows into moved appointments, and the freed slot goes straight back on the page.

The six-week cycle runs itself. Grooming income is rebooking income, and the sheet now generates the nudge instead of relying on you to remember four hundred cadences.

Common Questions from Dog Groomers

Can it handle two groomers with different skills? Yes — note in your description that only you take aggressive dogs or hand-stripping, and the page routes those services to your schedule alone.

What about new clients whose coat condition is a guess? Have the form ask a coat question or request a photo, and pad first visits — an extra thirty minutes — so surprises don't wreck the day.

Do owners see prices? Your call. Show Groom Menu pricing by size up front, or display "starting at" and settle at pickup — the page follows whatever your sheet says.

Build Yours

If your book is a spreadsheet plus a phone that won't stop ringing, take the sheet to lovespreadsheets.com and describe a day in your salon — sizes, coats, shots, the quiet room. Twenty minutes of setup, and the next doodle books the slot it actually needs.
