Partnership CRM in Google Sheets — Free Partner Tracking

Love SpreadsheetsPublished Jul 21, 20264 min read

Try logging a partnership in a sales CRM and watch it squirm. There's no "deal size" on a co-marketing relationship. There's no close date on an integration that's been "almost scoped" for two quarters. Partnerships don't move in straight lines — they move through coffee chats, warm intros, a webinar that goes well, six weeks of silence, and then suddenly a reseller agreement. The tooling built for pipelines treats all of that as a deal stuck in stage two.

So partnerships and BD folks end up where the misfits always end up: a spreadsheet. And the spreadsheet holds real gold — who introduced whom, which agency has sent four referrals this year, which "live" integration partner hasn't been on a call since March. The trouble is that the gold is inert. Nothing flags the partner going quiet. Nobody but you can answer "do we know anyone at Meridian?" And when the CEO asks which partners actually produce, the answer takes an afternoon of archaeology.

Here's the fix that doesn't involve forcing partnerships into sales software: have AI build a partner-shaped CRM directly on top of your sheet, for free.

Step 1: Start With Your Partner Sheet

One row per partner, columns for what a partnership actually is. Something like:

ColumnExample
PartnerNorthgate Consulting
TypeReferral
StageLive
OwnerJae
Referrals sent / received1 / 4
Last sync callJun 30
Next milestoneJoint case study — Aug

Referral partners, integration partners, resellers, and co-marketing relationships can share one sheet; the Type column keeps them sortable. Leave your columns exactly as they are — the AI builds around them.

Step 2: Create a Free Account

Create a free account at lovespreadsheets.com. Building and running the partner CRM costs nothing; if you later want the exec team logging in through your own domain, that's the paid tier's job.

Step 3: Describe How Partnerships Actually Progress

Pick the CRM template and narrate your world in ordinary sentences — ambiguity and all:

  • "Partners move Identified → Intro → Exploring → Agreement → Live → Dormant, and they can loop backward. Dormant isn't dead; it's a partner nobody has touched lately."
  • "Health means mutual value: we track referrals sent and received, because a partner we take from and never give to won't stay a partner."
  • "Intros matter — record who connected us to whom, since half our best partners came through another partner."

Three things to ask the AI for by name:

  • Dormant-partner flags — any Live partner with no sync call in 60 days gets surfaced before the relationship cools past saving
  • A referral-balance view — sent versus received per partner, so you can see at a glance where you're overdrawn and who deserves more of your intros
  • A shared partner directory — a clean, searchable list the exec team can browse, so "do we know anyone at Meridian?" gets answered without pinging you on a Saturday

Vague draft? Hit AI Optimize and answer the AI's follow-up questions. Upload the sheet, run it, and the build finishes in about 15–20 minutes.

Step 4: The Relationship Map, Finally Visible

The output is a web app the whole company can use: search a company, see the stage, the owner, the intro chain, the referral ledger, and the next milestone. Filter to every integration partner in Exploring, or every referral partner who's sent more than they've received this quarter.

Underneath, your sheet stays the source of truth with two-way, real-time sync. Log a sync call from your phone after the meeting and the sheet has it instantly; batch-update stages in the sheet on planning day and the app follows. The spreadsheet you built alone becomes infrastructure everyone reads.

Why Partnerships Teams Keep the Sheet

Long cycles don't rot in it. A partner can sit in Exploring for nine months without a sales tool nagging you to close or kill it — and the dormancy flag still catches genuine drift.

The intro chain survives job changes. When your champion at a partner moves companies, the record of who knows whom is in your data, not in a departed employee's memory.

BD stays out of tool procurement. Partnerships teams are small and rarely get budget for their own platform. A free CRM on a sheet you already own skips that fight entirely.

Common Questions from Partnerships Teams

Can we track referrals in both directions? Yes — keep sent and received as columns (or a log tab) and ask for a balance view; the app totals both sides per partner.

Different partner types need different fields. Fine. Ask for views by Type: resellers show contract terms, co-marketing shows campaign dates, all in one sheet.

Multiple contacts at one partner? Add a contacts tab linked by partner name and mention it in your description — each partner record shows its people.

Build Yours

Open the partner sheet only you understand, go to lovespreadsheets.com, and describe how a cold intro becomes a live partner. In about twenty minutes, the relationship map in your head becomes a system the whole company can see — and no partner goes quiet unnoticed again.
