Build a Free Inventory Dashboard from Google Sheets

Love SpreadsheetsPublished Jul 21, 20264 min read

Here's what inventory actually looks like at a small e-commerce brand: the warehouse system knows what's on its shelves, Shopify and Amazon know what's selling, and a Google Sheet knows everything else — the pop-up event stock, the sample kits, the fifty units sitting at an influencer's apartment. Three sources of truth, which is a polite way of saying none.

That was the daily reality for a small DTC baby brand we worked with in New Jersey. Every morning someone stitched the numbers together by hand to answer one question: what do we need to reorder? Inventory software that could unify it all started around $325 a month — and still wouldn't know what an "influencer sample" was.

So they built their own dashboard instead, on top of the Google Sheet they already had. Free, in an afternoon, with an AI chatbot that answers stock questions in plain English. Here's the process.

Step 1: Start With Your Google Sheet

Their sheet was nothing special, and that's the point. SKUs down the side, a few tabs for the odd stuff — pop-up inventory, samples out the door, planning formulas. Whatever your sheet looks like, it works as-is: it's about to become one of the dashboard's live data sources, not a file you migrate.

Step 2: Sign Up for Love Spreadsheets

Create a free account at lovespreadsheets.com. Free covers building and running the dashboard; team logins and a custom domain are the paid extras.

Step 3: Tell the AI What to Build

Pick the Dashboard template — the most flexible shape when you want charts plus a chatbot.

If your stock also lives in a warehouse system, grab an API key from it (for this brand that was ShipBob) so the dashboard can pull live counts. Then describe your situation the way you'd explain it to a new ops hire:

"We're a small DTC brand. Inventory is split between our warehouse system and this Google Sheet, which tracks pop-up stock, sample kits, and influencer samples that aren't in the warehouse. I want one dashboard showing total on-hand per SKU across both, how many units are at pop-ups or with influencers, and a flag when anything drops below its minimum."

And the part that changes daily life — ask for a chatbot:

"Add a chatbot that answers questions like 'how much of the Cloud Muslin blanket do we have?' or 'what's the most urgent thing running low?'"

Worth requesting while you're at it:

  • Reorder alert emails when a SKU crosses its minimum
  • A daily snapshot written to a new tab, so you get trend history for free
  • Multiple warehouses, if that's your world

Upload the sheet, run it, and answer any clarifying questions. The build takes about 15–20 minutes.

Step 4: You Have an Inventory Dashboard

One URL now shows the whole picture: on-hand per SKU across every source, low-stock flags, and the oddball stock — samples, pop-ups — counted instead of forgotten. The chatbot means nobody opens the sheet to answer "do we have enough for the weekend?" — they just ask.

Share it with the team, add secure logins so it's internal-only, and put it on your own domain if you want it to feel like real ops software.

Why This Beats Inventory Software

Your sheet stays the source of truth. The workflow you already have — logging samples, counting pop-up returns — keeps working. The dashboard reads it live; nothing is migrated, nothing is retired.

The chatbot knows your business. Generic inventory tools make you navigate menus and filters to find a number. Here you ask in plain English, and it understands what "the blanket" means because it's reading your data.

It handles your edge cases. Influencer samples, wholesale holds, sample kits — the stuff that breaks rigid software is just another tab in your sheet, and therefore just another number on your dashboard.

Common Questions

Does it update automatically? Yes — live sync from both the warehouse API and the Google Sheet. The dashboard is always current.

What if we don't use a warehouse system? Then the sheet alone drives it. You can add integrations later as you grow.

Can it tell us what to reorder? Ask for minimum-stock thresholds and reorder flags — and let the chatbot answer "what needs ordering this week?"

Try It Yourself

If your stock lives in a spreadsheet — whether you're a DTC brand, a shop, or a workshop — head to lovespreadsheets.com, upload it, and describe what you need to see. Twenty minutes later, "how many do we have left?" has a one-second answer.
