Amazon FBA Inventory Spreadsheet — Free AI Dashboard

Love SpreadsheetsPublished Jul 21, 20264 min read

Seller Central will tell you your FBA available units all day long. What it won't tell you is the shape of your actual pipeline: the 800 units on a boat, the 400 sitting at the prep center waiting on labels, the merchant-fulfilled backup stock in your garage, and the restock limit that decides how much of any of it Amazon will even accept. So FBA sellers do what sellers have always done — they keep a Google Sheet where the whole picture lives in one place.

The sheet earns its keep, but it's reactive. Days of cover is a formula you check when you remember to. Stranded inventory gets caught when a listing dies quietly. And storage fees on the slow movers pile up precisely because nothing was flagging the ASIN that's been selling four units a week against six months of stock. The failure mode is always the same: you find out about a stockout or a fee spike after it's already costing you.

Dedicated FBA inventory tools run in the neighborhood of $325 a month — real money against thin margins. The alternative: leave the sheet exactly where it is and have AI build a free monitoring dashboard over it, following the pattern in our main inventory dashboard tutorial but wired for the FBA lifecycle.

Step 1: Start With Your FBA Tracker Sheet

One row per ASIN is the standard shape, and it's exactly what the AI wants to see:

ColumnExample
ASIN/SKUB0C7XKQ2 / YOGA-MAT-BLU
ProductYoga Mat 6mm, Blue
FBA available212
Inbound800

Restock limit1,500
Reorder qty1,000

Extra tabs for supplier POs, merchant-fulfilled stock, or per-marketplace splits stay right where they are and get read too.

Step 2: Open a Free Account

Register at lovespreadsheets.com — everything in this guide runs on the free tier. Paid only enters the picture if you want a login for your VA or the dashboard living on your brand's domain.

Step 3: Brief the AI Like a New Ops Manager

Pick the Dashboard template. Sellers running an e-commerce backend or repricer that exposes an API key can plug it in for live sales velocity; the sheet alone is a perfectly good starting point. Then spell out the pipeline:

"I sell 24 ASINs on Amazon, mostly FBA. This sheet tracks available units, inbound shipments, stock parked at my prep center, days of cover, and restock limits. I want one dashboard totaling every unit per SKU across all stages, sorted by days of cover, with anything under 21 days flagged and reorder quantity shown next to it."

And the ask that replaces your morning spreadsheet scan:

"Give me a chatbot for questions like 'which ASINs run out inside 3 weeks?' or 'what's sitting at the prep center longer than a month?'"

Round out the request with:

  • Restock alert emails when cover drops below your threshold — timed to your supplier lead time, not to the day you happen to check
  • A daily snapshot appended to a trend tab, turning days-of-cover history into a sell-through curve per ASIN
  • A slow-mover watchlist surfacing SKUs whose stock outlasts the next long-term storage fee date

Field a clarifying question if the AI has one; the build itself lands in about 15–20 minutes.

Step 4: The Whole Pipeline on One URL

What you get is the view Seller Central never gives you: every ASIN with its full pipeline — available, inbound, at prep — days of cover front and center, red flags on the ones that won't survive your lead time, and reorder quantities already computed. The chatbot handles the one-off questions ("how deep are we on the blue mats across everything?") without you opening a single report.

Why FBA Sellers Keep the Sheet

The pipeline stages are yours. Amazon's reports end at their warehouse door. Prep center, freight, factory deposits — only your sheet tracks those, so a dashboard built on it sees the whole chain.

Lead-time math stays honest. With snapshots accumulating daily, days of cover becomes a trend you can set reorder triggers against, not a point-in-time guess.

No monthly toll on your margins. Category fees, storage fees, PPC — FBA already takes its cuts. Your monitoring layer doesn't need to be another one.

Common Questions from Amazon Sellers

Can it track multiple marketplaces? Yes — a marketplace column or a tab per region rolls up into combined and per-market views.

What about merchant-fulfilled stock? It's just another stage. Add the column and the per-SKU totals include it.

Will it respect restock limits? Ask for it explicitly: reorder suggestions capped at limit minus available minus inbound, so you never prep units Amazon won't take.

Build Yours

Upload the FBA tracker you already maintain to lovespreadsheets.com, describe your stages and your lead times, and let the AI assemble it. From then on, stockouts announce themselves three weeks early — by email, not by a dead listing.
